Conversion & Format

What is the safest and quickest way to convert multiple PDF files to QBO?

For multiple PDF bank statements, the fastest approach is using a dedicated converter like pdf-to-qbo.com — upload your PDFs, we extract transactions and output QBO files ready for QuickBooks import. No manual CSV formatting or copy-paste. QuickBooks also supports importing via CSV (Format CSV files in Excel first), or third-party apps from the QuickBooks Apps marketplace. For batch conversion and accuracy, a purpose-built PDF-to-QBO tool is typically the safest and quickest option.

What file format do I get?

You get a QBO (or OFX) file that QuickBooks Online can import directly. No extra conversion steps needed — download and import into QuickBooks.

Does this work with QuickBooks Desktop?

Yes. Our QBO output is Web Connect format, which both QuickBooks Desktop and QuickBooks Online accept. In QuickBooks Desktop: File → Utilities → Import → Web Connect Files, then select the QBO file. In QuickBooks Online: Gear ⚙ → Import data → Bank transactions → upload the QBO file.

What is QBO (Web Connect) format?

QBO is the Web Connect format used by QuickBooks for bank and credit card imports. It's based on the OFX (Open Financial Exchange) standard. Banks and converters produce QBO/OFX/QFX files that QuickBooks can read. Our tool outputs standard QBO format compatible with both Desktop and Online.

What are QuickBooks import file requirements?

QuickBooks accepts .QBO, .OFX, .QFX, .CSV, and .TXT. Key rules: file size under 350 KB; dates in dd/mm/yyyy (no day of week); Credit/Debit columns must say only "Credit" or "Debit"; remove standalone zeros. CSV can be 3-column (date, description, amount) or 4-column (date, description, credit, debit). Our QBO output is formatted for QuickBooks — no manual cleanup needed. See QuickBooks CSV guide for details.

Can QuickBooks read PDF files directly?

No. QuickBooks cannot directly read or import PDF files. You have two options: (1) Convert your PDF to QBO format using a tool like pdf-to-qbo.com, then import the QBO file into QuickBooks via Gear → Import data; or (2) Use a QuickBooks app (e.g. from the Apps marketplace) that lets you upload PDFs and maps the data directly into QuickBooks. Our converter gives you a portable QBO file you can keep, re-import, or backup.

How do I convert a PDF document to a QBO document to upload into QuickBooks Online?

QuickBooks cannot read PDFs directly. Use a third-party converter like pdf-to-qbo.com: upload your PDF bank statement, download the QBO file, then import into QuickBooks. In QBO: Banking menu → choose the account → Link account dropdown → Upload from file → drag and drop your QBO file. Or use Gear ⚙ → Import data → Bank transactions. QuickBooks also accepts CSV or QFX — our tool outputs QBO for direct import.

My client has PDF bank statements from prior years. Can I convert them to QBO?

Yes. When clients can't download QBO files from their bank for prior years (banks often limit how far back you can export), PDF statements are the only option. Use our converter to turn those PDFs into QBO files for import into QuickBooks. This is a common scenario for CPAs and bookkeepers catching up on historical data. Pro plans support batch conversion for multiple months or years.

Can I convert invoices and receipts?

Currently we focus on PDF bank statements. Invoices and receipts use a different QuickBooks import workflow (Bills/Vendors). Check our features page for the latest supported formats.

How accurate is the conversion?

We use automated extraction to parse your PDF. We recommend reviewing the data before importing into QuickBooks, especially for the first few conversions. You can edit transactions in QuickBooks after import if needed.
